DOCSOLUTIONS has wide public sector experience. It has designed and implemented unique solutions in the areas of document management and business process outsourcing for federal, state and local government bodies.

Specifically, DOCSOLUTIONS offers integrated services for modernizing the archives of public entities as required by the rules and regulations established by the Federal Institute of Access to Public Information (IFAI) and the National General Archive (AGN). This process involves the creation of such required “Instruments of Consultation” as the File Classification Chart, the Document Disposition Catalogue and the Simplified Guide to the Rules. It also may include the centralization of the files located in geographically dispersed locations throughout the country, and the clean-up, purging, classification and identification of files in accordance with regulations. This solution generates a database from the files of the government office or entity, provides an X-ray of its documentation, which in turn makes it possible to analyze and identify files for processing, centralization or historical preservation, or for final disposal. DOCSOLUTIONS creates structures for public institutions that organize and control the agency’s historical and current records impeccably, but also provide it with the tools and mechanisms to project these benefits into the future as new documentation is created. DOCSOLUTIONS can also offer imaging of those historical files identified by the agency as requiring electronic backup and those which should be imaged for frequent access.

DOCSOLUTIONS also offers DOCFLOW, its platform for the management of paper and digital files, which government offices can use to increase the efficiency of all their processes of recording, search, consultation, reporting and analysis of their documents and files, while improving their control over their information. This platform controls all document and file movements (loans, new files, registrations and closing), and tracks a file through the system from the time of its creation with a unique identifier, bar code or radiofrequency ID code (RFID) that relates the physical file to its digital counterpart, which may contain images and electronically generated documents (.doc, .xls, .ppt, etc.). All of the data bases created and the electronic files can be consulted with this tool on line by authorized users or functionalities, rigorously guarding the security and confidentiality of the information.
